 January 2025 Human Resources Update

Lunar New Year - 1/29/25: In 2025, Lunar New Year falls on Wednesday, January 29. There will be no school for students. This day is a workday for 12-month staff, and a Non-workday for 10-month staff. 12-month staff seeking to take off should submit a request in Frontline. 10-month staff should code their timesheet as "N" for this day, representing that it is a Non-workday.

Important Information for HCSEA Members with the Value or Select Medical Insurance Plans in 2025: Medical insurance premiums are typically taken out of 20 pays, from September through June. For the 2024-25 school year, the first medical insurance deduct was in the 9/27/24 paycheck, and the last medical deduct was scheduled for the 6/20/25 paycheck. However, because of the long December break, the 1/17/25 paycheck will encompass only 2 days' worth of pay, for the holidays on 12/25/24 and 1/1/25. Accordingly, medical insurance premiums for employees on the Value and Select plan will not be taken out of the 1/17/25 paycheck and instead will be taken out of the 7/4/25 paycheck to ensure the paycheck covers the premium amount. Retiring from Hilton in 2025? If you are thinking of retiring, please call Human Resources and set up an appointment so that you can understand contractual obligations and entitlements.  You may also want to reach out to NYSTRS or Employee Retirement System of New York with pension questions and to receive a pension estimate.
    Seniority Lists and Contracts:  Seniority lists and searchable contracts have been posted for the HCSTA and HCSEA on our HR SharePoint, which can be accessed via the Hilton CSD Intranet. Please review your seniority, and let us know as soon as possible if you believe there is a discrepancy.     Fitness and Wellness Committee Update

    Fitness and Wellness Committee met on January 8, 2025.  Buildings and departments reported various wellness or fitness initiatives.  Transportation staff walked or jogged over a million steps in their fall initiative.  Way to go!  Studio 22 partnered with the district and is offering a discount to all employees.  Click Here for Studio 22 Discount Flyer   Some committee members will be reaching out to establish other partnerships.  We will share more when they become available.  Go to our Fitness and Wellness website for resources and activities: Fitness and Wellness Committee Website

    Frontline Time and Attendance:  The HR and Business Office are working diligently on building a system for all employees to submit their timesheets.  Our first priority is paying people for their main position.  We know many of our employees take on additional positions in the district like lunch duty, proctoring, tutoring and other positions to support our students.  We continue to perform many checks so that payroll rules are 100% accurate.   If you want to share any feedback to us, please reach out to Ned Dale or Brittany Nasradinaj.

    Business Office Support: 

    2025 is here. Please take some time to review your latest paystub information to confirm that your tax withholdings and contributions to other investment accounts are as you expected.  It is easier for the Business Office to adjust and correct issues before the year has ended.  Please also be reminded that you should check your paystub every pay period to correct potential problems as soon as possible.

    Do you have questions for the business office that you can never seem to find time to ask?  Some examples would include 403B investments, payroll deductions, claim form issues, W-2 questions.  This is by no means a comprehensive list of what I am willing to discuss, but rather just some examples.  If you would like to discuss any of the follow, know that I am always available via phone (X7097) or email (jbarrett@hilton.k12.ny.us) as well as setting a meeting to visit you at your building or department.

    Payroll Tips:  Please continue to check your Bi-weekly payroll advice in MUNIS Selfserve for accuracy.  Remember that any changes you need to make to banking information for direct deposit need to be submitted in person to Human Resources before they can take effect in your check.  If you need to make any adjustments to your W-4 information, please complete the online form in MUNIS Selfserve.  No changes to your deductions will be made without a document completed and signed by you for auditing purposes.  The 2025 limit for 403B contributions made by the employee is $23,500 for anyone under age 50.  The limit for employees who will be 50 by the end of 2025 or older is $31,000.

    W-2:  Your W-2 will be available for you to download from Munis Selfserve by the end of January.  Please check your login information so that you will be able to access your W-2 when it is ready.  If you have forgotten your password and need assistance in resetting it, please contact Sherri DaMore at extension 7032.  If you have any questions after they are available, please reach out to the business office.

    Mileage Reimbursement:  Just a quick reminder that the mileage reimbursement rate has changed effective January 1, 2025.  The IRS approved rate is now $0.70 per mile and you can find the mileage form here.  The approved mileage rate should not be rounded, and the miles traveled should be rounded to the nearest tenth of a mile.  We recommend that you save this file to your computer for future use.
