Reminder for required trainings

GCN Trainings: Good news!  66% of all staff have completed the required online trainings.  Cheer your colleagues on so they can complete the rest of their courses.  As a reminder, we expect everyone to complete their trainings by Thanksgiving.   See your supervisor if you have any questions about the expectations or deadline.  

Oath Requirement

Required Oath:  New York State requires all civil service employees and all certified staff to sign an oath once during their career.  In an effort to address this requirement, we communicated with union leaders to let them know that we will be sending the form once to all employees and then making it part of our onboarding process starting on December 1st.  To see what it will look in SchoolFront, below is an image of what employees will see.


Considering Retirement:  If you are thinking about retiring and would like to meet with us so that you can plan accordingly, please call the Human Resources Office to schedule a time that will work for you.

Cybersecurity Changes:  We know the longer passwords and other changes can be difficulty to manage at times while we are all working so hard.  Below is an updated chart from the one we shared in August to demonstrate the positive changes that we are seeing to protect staff and student accounts. We appreciate your support in maintaining the safety of our network so that we can all perform at the highest level possible.

"See Something Say Something!" 

We want to remind everyone about the Safe Schools Helpline Link that is on our homepage and each school's homepage.  This anonymous reporting system is for students, parents and staff.  Each report is followed up on.  

COVID Positive:  Employees that test positive are expected to do the following:

  • Contact Human Resources and your Supervisor
  • Take a picture of the positive test and download Affirmation of Isolation.  Email both to the Human Resources department to support the use of 5 COVID days in lieu of accrued days.
  • Follow the building or department process to request a substitute.
  • Masks are recommended when staff return for days 6-10.
  • Individuals who have already used NYS COVID days for three occasions will be required to use their own accruals.  

Open Enrollment: 

 
It is that time of year when you can make a change to your medical insurance plan.  Please read the information from Wendy Radford when it is emailed out to ensure no gap.  The deadline is November 30, 2023.

Board Policies: The Policy Committee continues to review many policies this year.  Please feel free to review any of the changes that are updated on BoardDocs.  Please click Hilton BOE Policies to keep up to date.

Safety Data Sheets:  As a follow up to the Hazardous Communication GCN training, we thought it would be helpful to share that the Safety Data Sheets for any product we use in Hilton can be found online.  Here is the link to our "Safety Data Sheets" Hilton Safety Data Sheets for anything we use filtered by department.  If you go to the home page, go to Menu, click locations and you will see the departments below and all of the data sheets for chemicals we use.  This link can also be found on the HCSD Intranet page.

Business Office Support: 

The end of the calendar year is quickly approaching.  Please take some time to review your latest paystub information to confirm that your tax withholdings and contributions to other investment accounts are as you expected.  It is easier for the business office to adjust and correct issues before the year has ended.  A reminder that you should check your paystub every pay period to correct potential problems as soon as possible.

In an effort to be more accessible to all employees some of the business office staff will be at your building or department early in the calendar year (February or March) to answer any questions you may have related to your paycheck, W-2 or any other business department related questions.  Please watch for further communication via email about dates, times and locations of availability that work for your schedule.  If you are unable to attend, we are always available via phone or email as well.

W-2 Forms: As a reminder, your W-2 will be available on Munis Self-serve site by January 31, 2024.  You will be able to download and/or print your W-2 directly from this site after receiving the email informing you it is ready.  The website is Munis Self-Serve for you to login.  Please check your access to your account now so if you have password issues you can try to reset your password.  If you continue to have issues, please enter a ticket in Incident IQ to get the quickest response.  If you cannot access Incident IQ you can send an email to dataoffice@hilton.k12.ny.us
