Retiring from Hilton in 2024? If you are thinking of retiring, please call Human Resources and set up an appointment so that you can understand contractual obligations and entitlements.  You may also want to reach out to NYSTRS or Employee Retirement System of New York with pension questions.

Workforce Diversity:  As part of the District Improvement Team, we are continuing our long range equity plan. In March, all of the administrators will be trained on implicit bias in the hiring process.  Our goal is to provide this training prior to our main hiring season.  In an effort to share some of our work, please consider reading a few of the articles below on the topic:
Seniority Lists and Contracts:  Seniority lists and searchable contracts have been posted for the HCSTA and HCSEA on our HR SharePoint, which can be accessed via the Hilton CSD Intranet. Please review your seniority, and let us know as soon as possible if you believe there is a discrepancy. HR Employee Shared Documents


Workplace Violence Mandate:  The New York State Department of Labor now requires all public employers to have a Workplace Violence Program. This new mandate requires five action steps:  
Step 1 - Develop and implement a workplace violence prevention policy statement.  
Step 2 - Conduct a risk evaluation and determine what risk factors are present.  
Step 3 - Develop a workplace violence prevention program. 
Step 4 - Provide information and training to employees on workplace violence 
Step 5 - Develop a system to record workplace violence incidents and maintain those records.

We will be working with the Safety and Security Committee members to meet the requirements so that stakeholders are included in reviewing and providing feedback of any draft documents.  If you have any questions about this new requirement, please see the members of your unit that serve on the committee.  


Introduction of Privacy/Confidentiality Statement on E-Mails: In furtherance of online safety and security, a privacy/confidentiality notice will be added to all e-mails sent from District Microsoft (@hilton.k12.ny.us) accounts. This notice has already been added to all e-mails sent from the administrative team. There is nothing you need to do to prepare for this. We expect this to take place on February 1, 2024. Below is the text of the notice that will be added:

Frontline Absence Management and Time and Attendance:  We hope that you have enjoyed using Frontline this year.  Many have noted their appreciation of one system, access to the program with their phone and overall ease of use to record absences.  If you want to share any feedback to us, please reach out to Ned Dale or Brittany Nasradinaj.

Business Office Support: 

2024 is here. Please take some time to review your latest paystub information to confirm that your tax withholdings and contributions to other investment accounts are as you expected.  It is easier for the Business Office to adjust and correct issues before the year has ended.  Please also be reminded that you should check your paystub every pay period to correct potential problems as soon as possible.

In an effort to be more accessible to all employees some of the Business Office staff will be at your building or department early in the calendar year (February or March) to answer any questions you may have related to your paycheck, W-2 or any other business department related questions.  Please watch for further communication via email about dates, times and locations of availability that work for your schedule.  If you are unable to attend, we are always available via phone or email as well.

Payroll Tips:  Please continue to check your Bi-weekly payroll advice in MUNIS Selfserve for accuracy.  Remember that any changes you need to make to banking information for direct deposit need to be submitted in person to Human Resources before they can take effect in your check.  If you need to make any adjustments to your W-4 information, please complete the online form in MUNIS Selfserve.  No changes to your deductions will be made without a document completed and signed by you for auditing purposes.  The 2024 limit for 403B contributions made by the employee is $23,000 for anyone under age 50.  The limit for employees who will be 50 by the end of 2024 or older is $30,500.

W-2 Forms: As a reminder, your W-2 will be available on Munis Self-Service site by January 31, 2024 You will be able to download and/or print your W-2 directly from this site after receiving the email informing you it is ready.  The website is Munis Self-Serve for you to login.  Please check your access to your account now so if you have password issues you can try to reset your password.  If you continue to have issues, please enter a ticket in Incident IQ to get the quickest response.  If you cannot access Incident IQ you can send an email to dataoffice@hilton.k12.ny.us

Investing:  Hilton has approved the following providers for your 403B investments.  Please feel free to reach out to any one of these providers.  

Mileage Reimbursement:  Just a quick reminder that the mileage reimbursement rate has changed effective January 1, 2024.  The IRS approved rate is now $0.67 per mile and you can find the mileage form here.  The approved mileage rate should not be rounded, and the miles traveled should be rounded to the nearest tenth of a mile.  We recommend that you save this file to your computer for future use.
