Considering Retirement? If you are thinking about retiring and would like to meet with us so that you can plan accordingly, please call the Human Resources Office to schedule a time that will work for you.
Buying Back Time: We received feedback from ERS and TRS about the timeframe for buying back prior service. Currently, it is taking between 1 to 3 years for New York State to complete the buyback process. To buyback time, you must complete a buyback form and send it to the NYS Retirement System. According to NYS, you should expect to hear back within 10 weeks to confirm they received the form. The research, calculations, and buyback process will then take between 1 to 3 years to complete. If you have questions about buying back time or completing the appropriate form, please contact Sherri DaMore in Payroll at extension 7032.

Qualifying Employees must REGISTER AND LOGIN with Benefits Solver
Step 1: Everyone must be registered with a BenefitSolver account. If you have not yet registered, visit www.benefitsolver.com and click the Register button to get started. (The case sensitive company key is RASHP.) Create your username and password, verify your personal information, and answer a few security questions. Make sure all of your information is accurate including your dependents.

Fitness and Wellness Committee: Anyone looking to join a great committee about Fitness and Wellness for HCSD? We are seeking additional members who are passionate about the opportunities that are offered to students and employees. Reach out to Ned Dale if interested.
Rochester Teacher Recruitment Day is back! On March 20, 2026, nearly 30 districts will host an event to recruit teacher candidates from colleges and universities. Key Systems: Staff often call the HR and Business Offices for assistance with accessing various systems, which are primarily used to complete required trainings (GCNs), view tax documents and pay stubs, complete evaluations, sign salary notices, etc. We created a resource detailing each of these systems, including what they are used for, who to contact if you have questions, and the QR code/URL for accessing the specific site: Key Systems For All Staff Document. We hope you find this beneficial and a way to ease your burden.
Technology Team Shoutout: The last two weeks of August and first two weeks of September are by far the busiest time for the Hilton Technology team as 10-month staff and students arrive back on campus. The Hilton Technology Team never fails to impress us with their customer service, work ethic, and daily problem-solving. But this time of year, they shine even brighter. Below are some metrics from our ticketing system since the start of the year using IncidentIQ:
• 1,836 tickets were opened, with 1,749 closed.
• On average, tickets were started within 2.1 hours of when they were submitted.
• On average, tickets were resolved in 3.7 hours. In 2022-23, this average was 6.5 hours.
Thinking about becoming a teacher?:
For those that are thinking of returning to college to pursuit a teaching degree, please know that we have a 25% tuition savings with Roberts Wesleyan. Roberts is hosting a virtual open house on November 11th from 6:00-7:00 p.m. Click here to register for the event. They just announced that they have reduced their master's programs by 6 credits resulting in a $5,000 savings. In addition, the program is fully online. If you are a current Teaching Assistant, please reach out to Brittany or Ned about some new opportunities that we are exploring. Ned and Brittany recently met with the Department of Labor, Teacher for Workforce Development, and SUNY to continue seeking out useful opportunities for staff.
New Conference Request Form:
Global Compliance Network Courses: Just a reminder that your GCN Courses must be completed by November 22, 2025. Use the self-paced mode to finish them up!
Mandated Reporter Requirement for all Certificated Staff:
Additional Mandated Reporter Training: NYS has again updated the Mandated Reporter Training, by requiring all certificated staff (and some others) to complete a 15-30 minute addendum. In Hilton CSD, some completed this training online using the OCFS website, while others completed the training in-person with either Dr. Kathryn Krase or the Bivona Children's Advocacy Center. Teachers and certified staff must complete this additional training for certification purposes by November of 2026. *However, you must complete the 15-30 minute addendum with the SAME PROVIDER (see below). Otherwise, you will need to complete the full 2-hour training again.
*If you completed the training with Dr. Krase or Bivona, you will be enrolled in a specific training through GCN with a video that they each provided to us. You must complete the training by December 19th. The videos do not have a content related quiz, but it is NOT SELF PACED. This is due to the need by these providers to ensure to NYSED that you watched the whole video. For those who complete this process by December 19, your name and information will be sent to NYSED so that they can update your TEACH account. Again, the deadline is December 19, 2025 if you want to complete the addendum.
W-2's
As a reminder, your W-2 will be available on Munis Self-Service site by January 31, 2026. You will be able to download and/or print your W-2 directly from this site after receiving the email informing you it is ready. The website is Munis Self Service Link for you to login. Please check your access to your account now so if you have password issues you can try to reset your password. If you continue to have issues, please enter a ticket in Incident IQ to get the quickest response. If you cannot access Incident IQ, you can send an email to sdamore@hilton.k12.ny.us and Sherri can assist with resetting your password.
The end of the calendar year is quickly approaching. Please take some time to review your latest paystub information to confirm that your tax withholdings and contributions to other investment accounts are as you expected. It is easier for the Business Office to adjust and correct issues before the year has ended. This is a reminder that you should check your paystub every pay period to correct potential problems as soon as possible!
📢 Important Payroll Announcement!
As we approach every payday, we want to share some important information regarding payroll processing.
Payroll Processing Schedule:
- Tuesday (End of Day), week of payday: The cutoff for any changes or adjustments to payroll.
- Wednesday, week of payday: Payroll data is processed and sent to the bank.
🚫 No Changes After Tuesday: Please note that after Tuesday, no additional changes can be made to your payroll. So, if you have any updates or corrections, make sure to submit them before the deadline. Please understand this is a typical schedule and subject to change due to holidays and other events that can change the timeline.
🌟 Best Practice: Provide information early to ensure accurate and timely payments, we recommend that all necessary information be provided the week prior (non-pay week). This proactive approach helps streamline the process and ensures that everyone receives their biweekly pay on time.
🚨Emergencies: If you have an account emergency, such as closing of an account due to fraud, please pick up the phone and call our payroll department! Sherri can be reached at extension 7032 or Jim can be reached at extension 7097.
